1. Go to member’s account in CUnify
- Confirm with the member whether they have canceled any incoming ACH deposits.
- Review account history with the member to ensure no pending outgoing ACH or debit card transactions remain, as these must clear before the account can be closed.
- If the member has debit cards present, you may shred them; otherwise, instruct the member to shred them. Leads or Managers can block cards as needed.
2. Navigate to: Member Services > Services > Account Documents > Continue. Select Cover – Membership Closure Request.
- Complete all required fields in the Member Option and Member Services sections as you can preselect the fields like reasons for closing account and continue down the form verifying required actions prior to account closure.
- Add the members’ reason for closure in the comments section.
3. Print the form and obtain the member’s signature and date.
4. In CUnify, go to Member Services > Users > Close Account. Under SHARES, select Close Entire Account in the suffix dropdown.
- Ask the member how they would like their remaining funds to be disbursed:
- Cash if the balance is under $2,000
- Teller’s check if the balance is over $2,000
- A combination is allowed (up to $2,000 cash, remainder by check)
5. In the upper-left corner, select Close Share and choose the appropriate closing reason.
- If issuing a check, CUnify will auto-populate the member’s name and address, verify how they want the check made payable.
- Click Close Account.
- An override may be required if the disbursement exceeds staff withdrawal limits.
6. Before scanning the Account Closure Form into Laserfiche,
- Email consumerinsurance@trustage.com.
- In the Subject: Remove member from TruStage MemberConnect Program.
- In the Body: Include the former member’s full name, address, and date of birth.
- Scan the signed Account Closure Form into Laserfiche.
