When your coin bin is full, you will contact Loomis by emailing Troy.Mesa@us.loomis.com and request a coin pickup for your branch. They will respond letting you know what day they will send someone out.
Hold down the top left corner of the screen of the coin machine, then enter the username and password (1111 for both) to access the Main System Menu.
Under Machine Status Message, it will display a message saying “bin limit reached”, signaling that coin has reached its max capacity. On left hand side, click on Attendant Tab. Then click on Bin and Business Day Clearing. Under Bin clearing, touch Print Bin Report twice, one receipt will go with the daily work and the other goes with the Loomis consignment log designated for coin pickup. Do not clear the bin. When you have finished, place the machine “out of service” by tapping the tab in the bottom right of the main menu screen.
When Loomis arrives, you will verify the vendor as usual and they will swap out the full bin with an empty one. They will also print a bin report and clear the bin.
Each branch has a Loomis consignment log that is designated for the coin machine. You will prefill the date, number of packages for pickup (always 1), the denomination (coin), amount on the bin receipt the loomis employee prints off, bag number (next in chronological order), and then sign.
Then, have the Loomis tech verify the amount, sign, and document the route #, time, and date of the pickup in the Loomis consignment log.
Now, you will need to do the transfer in CUnify.
You will do the transfer in the Oregonians account 666135 and do a GL-to-GL transfer to clear the coin GL.
FROM 72900200 – Loomis Coin Deposit TO 87001080 -- Coin Machine Suspense
Using the amount from the bin receipt. If Loomis finds a difference in the amount, this will later be posted in the Coin Machine GL and can then be transferred into the Over/Short GL.
